Justice Impact Africa – Center for Judicial Studies and Reforms in Africa (JIA-CERJA) attaches great importance to the protection of personal information.

This policy explains how JIA-CERJA collects, uses, discloses, retains and protects personal information obtained through:

- contact, partnership and support forms;
- newsletter subscription;

- applications and professional profiles submitted to JIA-CERJA;
- the Organization's activities, programs and institutional relationships.

No payment or banking information is processed directly on the website. Payment instructions are communicated separately after verification and confirmation of the contribution.
JIA-CERJA recommends that you do not submit personal information that is not necessary for the evaluation of your profile.
This information is not used to make an automated decision concerning a person.
3.1 Contact form and partnership requests - When you contact JIA-CERJA, we may collect:

- any other information you voluntarily choose to provide.
3.2 Contribution or support requests - When you submit an intention to contribute, we may collect:

JIA-CERJA operates in Canada and Africa and uses technology providers that may process or store information outside Québec, including in the United States or in countries where the Organization conducts its activities.
Information stored outside Québec may be subject to the laws of the territory in which it is processed.
Before entrusting a provider or partner located outside Québec with the collection, use, disclosure or retention of personal information, JIA-CERJA commits to:
- assessing privacy-related risks;
- verifying the applicable legal framework in the relevant territory;
- limiting disclosed information to what is necessary;
- implementing appropriate contractual and security measures;
- ensuring that the information benefits from adequate protection.
10. Retention period
JIA-CERJA retains information only for the period necessary to fulfill the purposes for which it was collected.
Upon expiry of the applicable period, information is securely destroyed or de-identified in accordance with the law.
For guidance:
- contact and partnership requests may be retained for 24 months following the last exchange;
- unfulfilled intentions to contribute may be retained for 24 months;
- documents relating to a completed contribution are retained for the periods required by tax, accounting and financial laws;
- subscription information is retained until unsubscribe, subject to minimum retention of proof of consent or unsubscribe;
- applications and expert profiles may be retained for 24 months following receipt or last update;
- technical and security logs are normally retained for a maximum period of 12 months, unless longer retention is necessary to investigate an incident;
- requests relating to the exercise of rights and incident records are retained for the period prescribed by law.
11. Security measures
However, no transmission or computer system can be guaranteed to be completely secure.
JIA-CERJA applies administrative, technical and physical measures proportionate to the sensitivity of the information, including:
- limiting access according to role;
- use of passwords and authentication mechanisms;
- encryption of communications where available;
- backup and securing of systems;
- contractual oversight of service providers;
- awareness training for authorized persons;
- monitoring and handling of privacy incidents;
- secure destruction of information that is no longer necessary.
12. Cookies and similar technologies
The website may use a strictly necessary cookie, notably the NEXT_LOCALE cookie, to remember the language selected by the user.
Strictly necessary cookies enable the operation of the website and are not used for behavioral advertising purposes.
JIA-CERJA will not activate advertising, profiling or non-essential analytics cookies without first informing users and obtaining their consent where required.

Requests must be submitted in writing. JIA-CERJA may request the information necessary to reasonably verify the identity of the requester.
JIA-CERJA responds to requests within the timeframes provided by law, generally within 30 days of receipt.
Subject to the conditions and exceptions provided by law, you may request:
- to be informed of the personal information held about you;
- access to that information;
- correction of inaccurate, incomplete or ambiguous information;
- withdrawal of your consent to certain uses or disclosures;
- deletion of information whose collection, use or retention is not authorized;
- cessation of the dissemination of information or de-indexing of a hyperlink, where the legal conditions are met;
- receipt of computerized personal information collected from you in a structured, commonly used technological format, where the right to portability applies;
- filing of a complaint regarding JIA-CERJA's practices.

The website is not directed at children under 14 years of age, and JIA-CERJA does not knowingly seek to collect their personal information through the website.
Where information concerning a child under 14 years of age must be collected, JIA-CERJA obtains the consent of the holder of parental authority or the tutor, unless the law provides for an exception.

As of the date of this policy, JIA-CERJA does not make decisions based exclusively on automated processing of information collected through the website.
JIA-CERJA does not use profiling, identification or location technology without the knowledge of affected persons.
